Invoice layout and customization

Summary

In Shine, you can define your default invoice layout and also adjust individual invoices directly in the editor — giving you full flexibility for both consistent setup and one-off adjustments.

 



1. Default invoice settings

You can set up your general invoice preferences once — these will automatically apply to every new invoice you create.


Accessing your default settings

  • Click on your account name in the top-left corner of the sidebar.
  • Then select Settings from the dropdown menu and go to the Invoicing tab.
  • Adjust your preferences for layout, currency, language, payment details and more.


Default currency and language

Select your main working currency and language.

If you invoice clients abroad, this helps maintain consistency.

You can always change the currency and language manually while creating a specific invoice.

Layout

In the Appearance section, you can personalize the visual style of your invoices.

Here you can upload your company logo, choose a font, and select a highlight color that matches your brand.

The selected color is automatically applied to key invoice elements such as table lines, total due, column headers, and the document header.

This allows you to create a professional and consistent look for every invoice you send.

 



2. Editor options

When creating or editing an invoice, you can make additional adjustments directly in the invoice editor — without changing your global defaults.


Currency (per invoice)

You can issue invoices in another currency than your default:

  1. Click the Settings icon.
  2. Select the desired currency (e.g. USD, GBP).
  3. Only one currency per invoice is supported.
  4. To change the exchange rate, go to “Expected amount.”

If you change the currency after selecting products from your product list, make sure to manually update the prices according to the new exchange rate.

Visible columns

You can hide or display columns depending on what’s relevant for your customers. Choose what details appear in your invoice rows by default:

  • Date
  • Quantity
  • Unit
  • Unit Price
  • VAT Total


Item rows

  • Show or hide columns (Quantity, Unit, Unit Price, VAT %, VAT Total, Row number)
  • Only one VAT rate per row is supported
  • Column names cannot be renamed or edited


Message field

Add flexible content such as:

  • Payment terms
  • Product notes
  • Personal messages to your customer

To set a default message that appears automatically, use your account settings → Invoicing settings.

Include information like:

  • Legal notes
  • Terms and conditions
  • Additional company details

It’s not possible to display different company details below the footnote than those in the header. If you need to show a second address or phone number, use the Message or Footnote field.
